YOUR STARTER KIT IS READY
The Solopreneur Automation Starter Kit: 5 Workflows I Actually Use
These are not theoretical workflows. Every single one is running in my business right now. I built them because I was drowning in repetitive tasks, and I refused to keep doing things a computer could handle in seconds.
Here is the deal. I have built 1,500+ automations over 20 years. For Coca-Cola, PepsiCo, eBay, and dozens of other companies. But these 5 workflows below are the ones I keep coming back to for my own businesses.
They are simple. They are free (or nearly free) to set up. And they will save you 15+ hours per week once they are running.
Let us get into it.
Social Media Auto-Posting Pipeline
What it does
You create one piece of content. It goes to 5 platforms automatically. No logging into each app. No copy-pasting. No forgetting to post on Thursday because you got busy.
I use this for every single social media post I publish. One input, five outputs. That is how I maintain a presence on LinkedIn, Instagram, Twitter/X, Facebook, and Threads without spending my entire day on social media.
Why it matters
Most solopreneurs spend 5-8 hours per week manually posting content. This workflow cuts that to 30 minutes. You batch-create content once, schedule it, and forget it. The automation handles the distribution.
Tools you need
- Scheduling tool: Buffer (free for 3 channels) or Hootsuite (free for 2 channels)
- Automation connector: Zapier (free for 100 tasks/month) or Make.com (free for 1,000 operations/month)
- Content calendar: Google Sheets (free) or Notion (free)
Step-by-step setup (20 minutes)
- Create your content calendar. Open a Google Sheet with columns: Date, Content Text, Image URL, Platform Tags. Fill in one week of content.
- Connect your scheduling tool. Sign up for Buffer. Connect your 3 priority social accounts. In Zapier/Make, create a trigger: “When new row added to Google Sheet.”
- Build the automation. Set the action to “Create post in Buffer” with the content text and image from your sheet. Turn it on. Every time you add a row to your sheet, it gets scheduled across all connected platforms.
Pro tip: I batch-create 2 weeks of content every Sunday morning. Takes me about 45 minutes. Then I do not think about social media until the next Sunday.
Email Follow-Up Automation
What it does
When someone fills out a form on your website, downloads a resource, or signs up for anything, they automatically receive a personalized follow-up sequence. Not a generic “thanks for signing up” email. A real sequence that builds trust over 5-7 emails and naturally leads to your offer.
This is how I nurture every single lead that enters my world. No one falls through the cracks. No one gets forgotten. The system handles the relationship building while I sleep.
Why it matters
80% of sales happen after the 5th touchpoint. If you are not following up, you are leaving money on the table. I have seen solopreneurs double their conversion rate just by adding a simple 5-email sequence. The math is straightforward: more follow-ups equals more trust equals more sales.
Tools you need
- Form tool: Tally (free) or Google Forms (free)
- Email platform: MailerLite (free up to 1,000 subscribers) or ConvertKit (free up to 1,000)
- Connector: Zapier or Make.com (free tier)
Step-by-step setup (30 minutes)
- Write your 5-email sequence. Email 1: Deliver what they signed up for + introduce yourself. Email 2: Share your story and what you stand for. Email 3: Give a quick win they can implement today. Email 4: Show proof (a case study, a result, a screenshot). Email 5: Present your offer with a clear CTA.
- Set up the email platform. Create an account on MailerLite. Build your automation sequence with the 5 emails. Space them 2 days apart.
- Connect the form to the email platform. In Zapier/Make, create a trigger: “When Tally form is submitted.” Set the action to “Add subscriber to MailerLite” and assign them to your automation sequence.
- Test the full flow. Submit the form yourself. Verify you receive Email 1 within minutes. Check that the remaining emails are queued correctly in your email platform.
Pro tip: Personalize Email 1 with the subscriber’s first name and reference what they downloaded. This small touch increases open rates by 26% based on what I have seen across my campaigns.
Content Repurposing Workflow
What it does
You write one blog post or newsletter. The workflow turns it into 5+ pieces of content: social media posts, an email newsletter excerpt, a video script outline, and pull quotes for graphics. One input, five outputs, in under 10 minutes.
This is my content multiplication engine. I write one deep piece per week. The system breaks it down into everything else I need. I have been doing this for years, and it is the single biggest reason I can maintain a consistent presence without burning out.
Why it matters
Creating original content for every platform is a full-time job. Nobody has time for that. Repurposing is how you stay visible everywhere without working 60-hour weeks. The best part: your audience on LinkedIn is different from your audience on Instagram. The same idea, packaged differently, reaches completely different people.
Tools you need
- AI tool: ChatGPT (free) or Claude (free tier)
- Scheduling tool: Buffer or Hootsuite (free tier)
- Templates: A simple Google Doc with your repurposing prompts (I will give you mine below)
Step-by-step setup (15 minutes)
- Create your repurposing template. Open a Google Doc. Add these prompts: “Turn this blog post into 3 LinkedIn posts (different angles).” “Extract 5 tweetable quotes.” “Write a 60-second video script based on the main takeaway.” “Create a 3-slide carousel outline for Instagram.”
- Process your content. Paste your blog post into ChatGPT or Claude along with one prompt at a time. Copy the outputs into your content calendar.
- Schedule everything. Load the repurposed pieces into Buffer. Spread them across the week so you have fresh content going out daily from a single blog post.
Pro tip: One blog post gives me content for 5-7 days across all platforms. I write on Monday morning, repurpose on Monday afternoon, and I am done for the week.
Lead Scoring Automation
What it does
Every lead that enters your system gets a score based on their behavior. Opens an email: +5 points. Clicks a link: +10 points. Visits your pricing page: +25 points. When someone crosses your threshold (say, 50 points), you get an alert. These are your hottest leads. These are the people ready to buy.
I use this to know exactly who to focus on. Instead of guessing which leads are serious, the system tells me. It changed how I sell because I stopped wasting time on people who were not ready and started showing up for the people who were.
Why it matters
Not all leads are equal. Some downloaded your freebie and forgot about you. Others have read every email, clicked every link, and visited your offer page three times. Without lead scoring, you treat them the same. With lead scoring, you know exactly who deserves a personal message or a special offer.
Tools you need
- CRM: HubSpot (free CRM) or a Google Sheet with a scoring column
- Email platform: MailerLite or ConvertKit (both track opens and clicks)
- Connector: Zapier or Make.com
Step-by-step setup (45 minutes)
- Define your scoring rules. Email open = 5 points. Email click = 10 points. Visited pricing/sales page = 25 points. Replied to an email = 30 points. Downloaded a resource = 15 points.
- Set up tracking. If using HubSpot, scoring is built in. If using a Google Sheet, create columns: Name, Email, Score, Last Action, Date. In Zapier/Make, create triggers for each trackable event.
- Build the scoring automations. For each trigger (email opened, link clicked, page visited), create an action that adds the corresponding points to the lead’s score in your CRM or Google Sheet.
- Set up the hot lead alert. Create a trigger: “When score exceeds 50, send me a Slack/email notification with the lead’s name and score.” This is your signal to reach out personally.
- Review weekly. Every Monday, look at your top 10 scored leads. Send them a personal message or a targeted offer. This 15-minute habit will generate more revenue than hours of cold outreach.
Pro tip: Start simple. Just email opens and link clicks are enough to separate the interested from the indifferent. You can add more scoring rules as you grow.
Weekly Reporting Dashboard
What it does
Every Monday at 8am, a dashboard updates itself with data from all your platforms: website traffic, email subscribers, social media growth, revenue. No manual data entry. No logging into 6 different tools. One Google Sheet, fully automated, always up to date.
This is how I keep a pulse on my business without spending hours pulling reports. I open one sheet, I see everything. Green means growing, red means fix it. Takes me 5 minutes to know exactly where my business stands.
Why it matters
You cannot improve what you do not measure. But manual reporting is a time trap. Most solopreneurs either spend too much time on analytics or ignore them completely. This workflow gives you the data you need without the work you do not need.
Tools you need
- Dashboard: Google Sheets (free)
- Connector: Zapier or Make.com
- Data sources: Google Analytics, your email platform, your payment processor (Stripe, PayPal, etc.)
Step-by-step setup (30 minutes)
- Create your dashboard sheet. Make a Google Sheet with tabs: Overview, Traffic, Email, Social, Revenue. In the Overview tab, create a summary row for each metric you want to track weekly.
- Connect your data sources. In Zapier/Make, create a scheduled trigger: “Every Monday at 8am.” Add actions to pull data from each source: Google Analytics (sessions, page views), MailerLite (subscriber count, open rate), Stripe (weekly revenue).
- Build the write actions. For each data source, add an action to write the numbers into the corresponding row in your Google Sheet. Each week gets a new row, so you can see trends over time.
- Add conditional formatting. In Google Sheets, highlight cells green when a metric is up from last week, red when it is down. This gives you an instant visual health check.
Pro tip: Add a “Notes” column to your Overview tab. Every Monday, write one sentence about what you will do differently this week based on the numbers. This turns passive tracking into active improvement.
