How I Run Multiple Businesses With 3 AI Tools and Zero Employees

I'm going to tell you something that most business coaches won't. You don't need employees. Not yet. Probably not for a long time.

I'm Martin Ebongue, and I've built and run multiple businesses from my villa in Bali. No team. No office. No Slack channels with 47 unread messages. Just me, a laptop, and three AI tools that handle about 80% of what a small team would do.

Before you roll your eyes, let me be clear. I'm not some kid who watched a YouTube video and started calling himself a CEO. I've spent 20+ years building automation systems. Over 1,500 workflows. Fortune 500 campaigns for Coca-Cola, PepsiCo, eBay. I've seen what real operations look like at scale. And I'm telling you: most solopreneurs are hiring too early.

The Problem Nobody Talks About

Here's what I see every week. A solopreneur making $8K-$15K/month hires a VA, a content writer, and a social media manager. That's $3,000-$5,000/month in payroll before taxes. Then they spend another 10 hours a week managing those people. Reviewing work. Giving feedback. Fixing mistakes. Redoing things.

They hired help to save time and ended up with less time and less money. Sound familiar?

The smarter move? Automate first. Hire only when automation hits its limit. For most solopreneurs, that limit is much further away than you think.

AI tools for solopreneurs - automation dashboard

AI ToolWhat It DoesMonthly CostHours Saved/Week
Claude (Anthropic)Content writing, strategy, research, code generation$2015-20
Make.comWorkflow automation, API connections, data routing$2910-15
AirtableCentral database, project tracking, content calendar$205-8
TOTALFull business operations stack$69/mo30-43

The 3 Tools (And Nothing Else)

I've tested hundreds of AI tools. Spent thousands on subscriptions I used once. After all that experimentation, my entire operation runs on three:

1. Claude (Writing, Strategy, Thinking)

Claude is my strategist, writer, and analyst. I use it for content creation, email sequences, campaign planning, market research, and code. It replaced what would be a content writer ($2,000/month), a strategist ($3,000/month), and a research assistant ($1,500/month).

Cost: $20/month for Pro.

2. Make.com (Automation Engine)

Make.com connects everything. When I publish a blog post, Make automatically creates social media versions, schedules them across platforms, updates my content tracker, and sends a newsletter teaser. One trigger, seven actions, zero manual work.

I've built 150+ automated systems for my own businesses using Make. Not for clients. For me. That's the difference. I only teach what I actually use.

Cost: $29/month for the Pro plan.

3. Airtable (Data Hub)

Airtable is the brain. Every piece of content, every campaign, every client interaction lives here. It's my CRM, project manager, content calendar, and analytics dashboard rolled into one. No more jumping between Notion, Google Sheets, Trello, and Asana.

Cost: $20/month for Plus.

Are You Running Your Business or Is It Running You?

1. Do you have more than 5 recurring tasks you do manually every week?
If yes, each one is an automation candidate. Map them out and start with the one that takes the longest.

2. Are you paying for team members to handle tasks an AI tool could do?
If yes, audit your team costs against AI tool pricing. A $69/month stack replaces $3,000-$5,000 in contractor fees for content and admin work.

3. Can you take a 2-week vacation without your business stalling?
If no, you have a job, not a business. Automation is what makes the difference.

4. Do your tools talk to each other automatically?
If no, you are the middleware. Every manual copy-paste between tools is a workflow you should automate.

5. Do you know exactly which activities generate revenue vs. which just feel productive?
If no, track your time for one week. Most solopreneurs spend 60% of their time on tasks that generate zero revenue.

The Real Cost Breakdown

Let's do the math that actually matters.

My 3-tool stack: $69/month

What it replaces:

  • Content writer: $2,000/month
  • Virtual assistant: $1,200/month
  • Social media manager: $1,500/month
  • Project management tools (3-4 subscriptions): $150/month

Total replaced: $4,850/month

That's $57,372 saved per year. And I'm not exaggerating. These are real numbers from my actual business.

How They Work Together as a System

This is the part most people miss. Individual tools are useless. A system is everything.

Here's my actual workflow:

  1. Claude generates a week's worth of content based on my brand voice and strategy
  2. Everything gets stored in Airtable with status tracking, platform tags, and scheduled dates
  3. Make.com watches Airtable. When a post's status changes to “approved,” it automatically formats it for each platform and sends it to my scheduler
  4. After posting, Make pulls engagement data back into Airtable
  5. Next week, Claude uses that performance data to improve the next batch

It's a loop. It gets smarter every cycle. And I touch it for maybe 30 minutes a week, mostly just approving content in Airtable.

How to Set This Up (Step by Step)

  1. Start with Airtable. Build one base with tables for Content, Campaigns, and Analytics. Keep it simple. Three tables, not thirty.
  2. Set up Claude. Create a custom prompt with your brand voice, audience, and content pillars. Feed it examples of your best-performing content.
  3. Connect with Make.com. Build your first scenario: Airtable trigger > format content > post to one platform. Get that working before you add complexity.
  4. Expand slowly. Add one new automation per week. Don't try to build everything at once. That's how you end up with a fragile system that breaks when you change one thing.

The Real Point

This isn't about AI replacing humans. It's about not hiring humans for work that machines already do better, faster, and cheaper. Save the human hires for things that actually need a human: high-touch client relationships, creative direction, strategic partnerships.

I run my businesses from a villa overlooking rice fields. Not because I'm lucky, but because I spent years building systems that don't need me to babysit them.

You can do the same thing. It starts with three tools and the discipline to not overcomplicate it.

Martin's Track Record: 1,500+ automation workflows built across 20+ years in marketing automation. Fortune 500 clients including Coca-Cola, PepsiCo, and eBay. Over 2,000 students trained in 49 countries. These are not theories. These are systems running in production right now.

The Honest Version of the Zero-Employee Setup

Zero employees does not mean zero work. It means the repetitive work runs without you. I run four companies from Bali with no team, and the reason it holds is that every task I do more than twice becomes a workflow. I have built more than 1,500 of them over 20 years, first for Coca-Cola, PepsiCo, and eBay, now for myself. Three AI tools do the heavy lifting: one drafts, one decides, one routes. That is the whole trick. You do not need a bigger stack. You need three tools you actually understand. I break the exact setup down in my growth hacking video series and across 578 episodes of my Freedom by Choice podcast, where I show what each tool touches and what it never should. If you want to see how fast the models are moving, read the release notes from Anthropic and OpenAI directly, not the hype threads. Pick three. Learn them cold. Let the rest wait.

Frequently Asked Questions

What AI tools can replace employees for solopreneurs?

AI tools now handle content creation (ChatGPT, Jasper), customer support (chatbots, Intercom), social media management (Buffer, Hootsuite with AI), bookkeeping (QuickBooks AI), and email marketing (ActiveCampaign). A solopreneur using 3 to 5 AI tools effectively can match the output of a 3-person team at less than 10% of the labor cost.

How much money can AI tools save compared to hiring employees?

The average employee costs $50,000 to $70,000 annually including benefits, while a suite of AI tools runs $200 to $500 per month. Solopreneurs report saving $30,000 to $100,000 per year by replacing repetitive tasks with automation. The key is identifying the 80% of tasks that are repeatable and delegating them to AI while keeping strategic decisions human.

Can you really run multiple businesses without employees using AI?

Yes, with the right automation stack. The critical framework involves systemizing operations so each business runs on automated workflows for content, marketing, fulfillment, and customer service. Successful solopreneurs use AI for daily operations and spend their time on strategy, product development, and high-value creative work that AI cannot replicate.

What is the biggest mistake solopreneurs make with AI automation?

The biggest mistake is automating everything at once instead of building systems incrementally. Start by automating your highest-volume repetitive task, verify it works reliably for 2 weeks, then add the next automation layer. Rushing leads to broken workflows and poor customer experiences that damage your brand more than doing things manually.
